What is Reimbi and why did you start it?
Reimbi is a software platform used to ensure job candidates are reimbursed quickly for their approved out-of-pocket interview expenses. Having seen first hand the difficulties in managing expenses for non-employees and the delays in getting payouts issued, we saw an opportunity to provide value to both the hiring company (Reimbi’s customer) and job candidates.
What do you think Reimbi does differently from your competitors?
Our main competition is email and Excel which are the tools many companies are using to collect expense reports from candidates, gather approvals, connect with accounts payable and answer questions like “Where’s my reimbursement?”. That process also results in it taking up to 6 weeks for candidates to be reimbursed. Reimbi eliminates the manual work and inefficiencies for both the candidate and the hiring team. Candidates also are paid out the same day expenses are approved which is a nice boost to candidate experience.
For RecOps folks, what do you think are some key questions they should ask when evaluating Candidate Reimbursement Tools?
What impact will exposing your candidate to software have on their view of the company. Do you want to invite your candidate as a ”guest” to an employee expense reporting tool that no employee actually likes using?
How easy is it for candidates to submit expenses correctly? Do they have to download an app?
How quickly can candidates be reimbursed? What choices does the candidate have for receiving the reimbursement (Venmo, PayPal, direct deposit, electronic check, etc)?
Does the software being considered work internationally?
How will the candidate be guided through the reimbursement process?
Imagine you are on the RecOps side of the fence. What arguments would you make for why you need to have a tool like Reimbi?
Does our process for candidate reimbursement match up with our employer brand?
Do we want our TA staff spending time collecting receipts, answering status questions and chasing down AP to get a candidate reimbursed?
Do we want to end up on the /recruitinghell sub-reddit (link) like this? ——————->
How do you think RecOps folks can help drive meaningful changes in the reimbursement process?
Make the reimbursement process as simple and clear as possible. Distribute the reimbursement policy before the interview. Don’t over engineer it. Keep candidates posted on approval/payout status.
What do you wish people knew about candidate reimbursement process that isn’t obvious / what kind of enablement do you think the RecOps team should drive?
Many candidate journey maps miss the reimbursement of expenses. For the candidate, getting paid (reimbursed) quickly and easily is a delightful moment. Having to chase down money you feel you are owed and jump through lots of hoops is the extreme opposite.
Why do you think there is such complexity in the candidate reimbursement process?
A company’s Accounts Payable function is setup to issue funds to vendors and employees. Candidates are neither so they are often forced into an overly complex process. This could either mean being setup as a vendor or working through a expense reporting system and process built for employees. (Read about Lois 😀)
